I am able to implement GTD using Outlook locally very well and it works great. My latest problem is that I now partner with a colleague on many projects and need a centrally located GTD solution that both of us can use from separate locations to track all of our projects, calendars, etc.

Does anybody have any suggestions for solutions that work with the GTD system well? Most likely these will have to be web-based. Free/open-source would be great but we're willing to pay for a decent product/service if it exists.

I'm open to any ideas so please share.

Thanks so much for your time!

I suggest backpackit.com

I use it for all my GTD lists. I can access from both home and work (or anywhere). Would work for multiple users too. Free or small monthly fee depending on your needs.

Hotmail to the rescue

If you sign up for Windows live mail, it might solve all your problems.

Live mail works pretty much the same as Outlook (same look and feel).
And is customizable (folders and categories etc.)

I was ready to dump hotmail and switch to gmail, until they came out with this.

It's still in Beta, but it works very well.

This may be too simple, but that may be a good thing? Try Yahoogoups. Set up your own mini-group, and only allow you and your partner as members.

A friend had great success with keeping family members up-to-date on medical progress reports, getting donors over several cities scheduled for blood donations or babysitting, lists of needed help or grocery lists, etc. during their child's serious illness.

It has all the basics - calendar, files for you to post your lists, links for other resources, email notification if changes are posted, threads to follow.

It's free, it's really basic. You could try it at no cost and little start-up agony and if it didn't work for you, it wouldn't be a huge loss.

I personally recommend MS OneNote. Two people can access the same notebook in a central location (a SharePoint site is best) and edit. The program has a sophisiticated syncing mechanism that allows you to see the other person's changes. If you work offline the program will cache your changes and sync them with the other person's changes when you reconnect, as well. Indeed, the program even allows "live" sharing sessions where you can literally talk to someone on the phone and make changes on either end on the fly and see the other person's changes instantaneously.

ON was really designed fo this type of collaboration. However, if this is more sophisticated than you need or if you don't have a common shared site, its extremely easy to email the pages back and forth from the program and sync changes when re-importing from a response.

Good luck,

Tom S.
