My experience with GTD

Hi, I'm new to the forum. Just wanted to share my experience with GTD.

I prefer to start the day with doing predefined work. I'm on top of my energy. I scheduled one hour from 10 to 11 to work from my lists. Not to much time so I use it to delegate actions from my lists and followup. I don't assign meetings for this time. As I live in a megapolis, I can get in an unexpected traffic jam and having this block of time allows me to still be in time for any meeting starting 12 and further. Sometime I make calls from my lists before 10 as it is easier to catch executives before the day starts.

At 9 in the morning I start to get a lot of calls and emails requiring my attention through the day. If at my office I also get calls on my internal phone. During scheduled doing time and meetings I say that I would call back and put a reminder into my inbox (write it on a piece of paper and put into physical inbox). I call back after processing. Usually on the way home. Usually my callers request to meet with me and I have to process incoming calls on the fly to say yes/no. I have to accept 80% of meetings as I have to generate new business and you never know what meeting would give that outcome. Thus I check my calendar in IPhone on Pocket Informant for the next free slot. I don't sync to my Mac. It would be great but there's no way to do it but through a cloud. I can't use clouds due to internal politics of the company.

I scheduled processing time from 16 to 17. There're two main reasons to schedule for me. First, I have a lot of meetings and that is OK as it's part of my profession. But sometimes I forgot to process and had to do it at home. Second, I prefer to leave the office at 17 as it allowed me to escape traffic jams and be at home by 19.

My day consists of meetings with staff and customers. It could one-on-one or one-to-lots :) I don't have spare time because the meetings are back to back. As a result I have to delegate 90% of stuff I get through the day (during daily scheduled doing time).

When I arrive home I go to a gym. 30 minutes is enough for me. Then dinner and games with my daughter and wife. When my daughter goes to sleep I have some time for my hobbies: for example, learning Spanish. Or I can do something on my home list. My day ends at 11.

During weekend I do my weekly review. Clean inboxes, check past and future calendar for any actions, review project and someday lists. I have time to go outside, walk or drive my Grizzly 700. Do something with my daughter that requires time.

Sounds like you get a lot of benefit from lists for calls and breaking up the workflow phases. Scheduled processing time makes a big difference if you can do it. Mine tends to be when I find a gap.

Could you use the Iphone to sync with the cloud to sync with you mac later?
