Other peoples stuff in my calendar?

I am trying to use my outlook calendar for date/time specific hard landscape stuff only. However, I don't know what to do with things like --- "Inlaws will be in town from Sept 10 to Sept 14" (which may have an impact on if/how I schedule my activities and to-do's in that time period.)

Right now, I enter that stuff (hesitantly) in my calendar. But I seem to have a lot of those types of things on my calander that really eat up visual space.

Any thoughts/best practices for this?

What I'd do in this particular situation is to indicate "Inlaws will be in town" as an appointment in outlook with no time for each of the days they will be in town.

That way I'm reminded each day that they are in town, but I have no specific commitment, unless of course I make one, in which case it gets entered as a time. i.e. "dinner with inlaws" 6 pm-10pm September 14th.

I use outlook, and I handle these situations pretty much the way Don suggests -- all day event, start date = September 10, end date = September 14. Making it an all day event helps cut down on the visual space required, and prevents apparent scheduling conflicts.
 
Same here...

I do the same as jknecht and Don described.

A simple Outlook Calendar All Day Event, over the days they're visiting gives you an overview when they're visiting.

Then any time specific events with them can be entered as specific timed appointments as required.

I do this quite often:

Mon: All Day Event – Lucy away, visiting her sister!

Tue: All Day Event – Lucy away, visiting her sister!

Wed: All Day Event – Lucy returning from her sisters!
10:30 – 15:30 @Home: Clear up & clean house ready for Lucy’s return!
16:30 – 17:00 @Town: Pick up Lucy from Rail Station etc…

For some reason I did not see my answer, I do similar to Andy D.

I use palm and Outlook and use colors.At this time I have the following:
WORK (RED)
WORK TRIPS (ORANGE) [i TRAVEL VERYOFTEN]
PERSONAL (BLUE)
FAMILY (GREEN) [RELATES ME AND MY WIFE]
WIFE (PURPLE)
MAYBE (YELLOW)
