How does everyone put routine tasks into the GTD system?

Hi,

I use checklists for some of my routine tasks (like course prep--I'm a prof). I put many repeated tasked (e.g., changing the air conditioner filter) in my tickler file.

reminders

I post some of them, if it's just a reminder, on the top of my outlook calendar, as an "all day event", if it needs to be done on a certain day, but not a specific time.

If it's a routine task, that is not time sensitive, then I build a task for it, and it comes up in my weekly review.

Checklists, plus reminders in the calendar as needed. For example, I use a paper system, and I'm getting in the habit of transferring each new month's blank pages, copying items from my "perpetual" calendar, etc. I have a reminder at the end of each month: "xfer new month", plus a code I use to carry it forward to next month (e.g., "1m > ()")

Task that get repeated at a regular time/day go into the calendar. The others onto my next-actions lists. I just don't delete them from the lsit after I've done them. If they are projects I have them on my 20,000 ft - level list. I'll generate a new instance during the weekly review.

I have many task that happen by month, every May I must check the hurricane provisions for my office. So I have in the @Tickler category in Outlook a task "Annual-05 - Hurricane Checklist". I set it up as a reoccurring task with a due date of 5/31, start date of 5/1, and reminder of 5/15 just in case I have gotten busy. :rolleyes:

Also useful for those IRS quarterly payments, PC backup reminders, annual car inspections, license plate renewals, etc.

I decided that mixing my annual repeaters with my monthly repeaters made the weekly reviews go slower so I also created a Category called "@Tickler_Monthly". All of these have to be done sometime during the month but I can pretty much skip that section in the weekly review and in the daily NA look I just decide if now is the best time to do it.
 
Routine/recurring task checklist in Excel

This page shows a spreadsheet you can easily duplicate to track recurring tasks. I set one up in Excel and put my recurring tasks on it. I set it up to print landscape on a letter-size sheet, then punched the short side and put it in my planner. Fold it in so it fits into a Classic-size planner. Or if hour planner is letter-size, you could punch the long side.

It works great. Highlight the box that corresponds to the date you need to do the task, and check the box off as you do the task. The only thing that I'd like would be a place to indicate the date when I did the task, but it would show up on my timesheet, so I can live with it.

Why not draw a sign (like a circle or quare or so) in the box for when you actually completed the item? A checkmark in the highlighted box and a circle for the date completed box. If you are cool and do the action on the right day you get a super-cool checkbox-in-a-circle-in-a-highlighted-box, wow :D
